Practice Manager Job opportunity at Aashna Counselling & Psychotherapy

We are a growing practice with over thirty-five therapists working from Aashna. We are looking for an efficient practice manager to join the Aashna team. This will be a part time position, on a self-employed basis with an hourly rate of £14/hr of approximately 6hrs a week to begin but will vary based on the needs of the practice. We envisage most of the work to be done off site, with the use of a personal laptop with the potential of working at the practice in our shared kitchen space or Beauly room where preferable/available.

Essential Skills

  • Excellent IT Skills

  • Good knowledge and experience of MS Word, Excel, PowerPoint and Google Docs

  • Ability and agility in using Google Calendar*, WhatsApp, Skype and other communication and organisation applications*

  • Creative skills, simple poster designs and creating monthly newsletters.

  • Excellent administration skills, strong interpersonal, communication and organisational skills.

  • Liaising with therapists and directors

  • Practically minded.

  • Innovative and use initiative

  • Knowledge of Wix website platform*

  • Ability to use automated booking system - Aashna uses Appointy*

  • Understanding of counselling and psychotherapy

  • Day to day management of the practice.

  • Organising weekly purchases (Milk, fruit, biscuits).

  • Organising social meetings for practitioners.

  • Support with monthly Aashna events.

  • Ordering necessary equipment for the practice.

  • Organising repairs and maintenance in urgent situations.

  • Ensuring each room has fresh flowers as of when needed (involves collecting flowers).

  • Liaising with Directors when needed regarding the running of the practice.

  • Monthly update to directors/ Aashna team via email and WhatsApp

  • Creating contracts for new therapists.

  • Inducting new therapists.


  • Maintenance of website (WIX platform*). i.e adding new therapists to website, editing profiles

  • Posting on social media (twitter, facebook and linkedin using Hootsuite*) and developing online presence

  • Online filing system of therapists using Google Drive

  • Maintaining the Appointy booking system*

  • Preparing monthly occupancy reports

  • Attend monthly meeting

  • Maintenance of building (change light bulbs, buy toilet rolls)

  • Any other duties that are reasonably asked of you
